How to choose the best receipt scanner app for a Canadian business

What to test before committing to expense software in Canada: sales tax handling, currency conversion, export, data residency, and a fair trial.

Judge receipt scanning software on how it handles the parts that are specific to Canada: whether it records GST, HST, PST and QST as separate amounts rather than one tax figure, whether it converts foreign receipts at the transaction-date rate, whether it prices in Canadian dollars, whether you can export everything, and whether it tells you where your data is processed. Extraction accuracy matters, but every vendor claims it — test it on your own worst receipts.

What makes expense software work for a Canadian business?

Most expense software is built for a single-rate tax system and adapted afterwards. Canada has five harmonised rates, three separate provincial taxes and one province running a parallel tax with its own registry, and the rate on a receipt depends on where the purchase happened rather than where your business is. Software that was not designed for that will handle it as a single "tax" field, and everything downstream inherits the loss.

  • Does it store GST, HST, PST and QST as separate amounts? This is the single highest-value question, because PST and RST are generally not recoverable while GST, HST and QST are. A merged tax total cannot be split apart later.
  • Does it record the province the purchase was made in? Without it, cross-province purchases get reconciled against the wrong rate.
  • Does it take the tax from the receipt, or calculate it from a rate? Calculated tax breaks on mixed-rate bills, zero-rated items, and any receipt that spans a rate change.
  • Does it handle a Quebec receipt correctly? QST at 9.975% on the pre-GST amount is a good five-second test of whether anyone thought about Quebec at all.

How should it handle foreign currency?

At the rate for the transaction date, not today's rate and not the statement rate. This sounds like a detail until you have a year of US software subscriptions and a conference trip in it.

  • Ask specifically which date's rate is applied. "We convert to CAD" is not an answer to that question.
  • Check that the original amount and currency survive the conversion. You need both the US$100 and the CAD figure, or the conversion cannot be checked.
  • Check whether the rate used is stored. A converted figure with no recorded rate is impossible to reproduce in year five.

A quick test. Upload a foreign receipt dated several months ago. If the CAD figure matches today's rate rather than the rate on the receipt's date, the software is converting at the wrong moment and every foreign expense in your books will be slightly wrong.

How do you actually test extraction accuracy?

Not by reading the marketing number. Every vendor in this category publishes a high accuracy figure, ours included, and those figures are measured on the vendor's own test set under the vendor's own definition of a correct field. They are not comparable to each other and they are not predictive of your receipts.

Test it on the receipts that actually give you trouble: faded thermal paper, a handwritten total from a contractor, a bilingual Quebec receipt, a restaurant bill with a tip written on afterwards, a multi-page PDF invoice, a photo taken at an angle in bad light. Twenty to thirty of your own worst documents will tell you more than any published benchmark.

Then look at what happens when the software is unsure. The dangerous failure is not a blank field — it is a confident wrong number that lands in your books without comment. Software that flags a low-confidence extraction for review is more useful than software with a higher headline accuracy and no way to tell you when it guessed.

Can you get your data back out?

The CRA expects records to be kept for six years. Six years is longer than a lot of software relationships, so the question of how you leave matters as much as how you start.

  • Full export of transactions and extracted fields in CSV or Excel, not a summary report.
  • The receipt images themselves, in bulk, not one at a time through a download button.
  • Export available on the plan you are actually going to buy. Export gated behind the top tier is a lock-in mechanism wearing a feature's clothing.
  • No export fee, and no waiting period, at the moment you cancel.

Test the exit before you need it. Run the export during the trial, open the file, and check that the tax fields, the province, the currency and the original amounts are all in it. That is a ten-minute test that tells you exactly how bad leaving would be.

What to look for in the pricing

  • Is it priced in Canadian dollars, or converted from USD at checkout? USD pricing means your software bill moves with the exchange rate and carries a card conversion fee every month.
  • Is it per seat? A sole proprietor and a five-person shop have very different bills under per-seat pricing, and the per-seat model rarely reflects the value of a second person occasionally uploading a receipt.
  • What is actually metered — receipts, users, storage, or all three? Find the meter that will bind first for your volume.
  • What happens when you exceed the limit? A hard stop mid-month, an overage charge, or a prompt to upgrade are three very different experiences.
  • Is the annual price a genuine discount or a lock-in? Compare the monthly cost either way and decide with the number, not the badge.

Where does the software process your receipts?

Ask, and expect a specific answer. "Bank-level encryption" and "enterprise-grade security" are not answers to the question of which company holds your documents and in which country. A vendor that cannot name its infrastructure and its AI provider has either not thought about it or would rather you did not.

Note that AI-powered extraction usually means the receipt image is sent to a third-party model provider, which may be in a different country from the application itself. That is a second hop, and it is the one most often left out of a residency claim.

How to run a trial that tells you something

Are published accuracy percentages comparable between products?

No. Each figure is measured on the vendor's own test set under the vendor's own definition of a correct field, and none of those are standardised. Treat any accuracy number, ours included, as a claim to verify on your own documents rather than a specification to compare.

Should I worry about per-seat pricing?

If more than one person will ever upload a receipt, yes. Per-seat pricing scales the bill with headcount rather than with usage, which rarely matches the value a second occasional user gets. Check the total cost for the number of people who will realistically touch it.

What should I ask about data residency?

Two questions, not one: where the application and your files are hosted, and which AI provider reads your receipt images and in which country. The second hop is the one most often left out of a residency claim, because AI extraction usually means sending the image to a third-party model provider. If the answer to either is unacceptable, ask whether a dedicated instance against your own accounts is available.

Is a free plan enough to evaluate expense software properly?

Usually yes, if it includes the features you are evaluating rather than only the interface. Check that export and the tax handling are available on the free tier — a trial that withholds the two things you most need to test is not a trial.
