For freelancers, contractors and sole proprietors
The receipt scanner for self-employed Canadians.
Snap the receipt, and it is read, categorised and filed with the GST/HST split out. At year end you hand your accountant a spreadsheet instead of a shoebox.
What does SimpleLoonie do for the self-employed?
SimpleLoonie is an AI receipt scanner and expense tracker for self-employed Canadians — freelancers, contractors and sole proprietors who report business income on Form T2125. You photograph or upload a receipt; it reads the vendor, date and total, sorts the expense into one of your categories, records GST, HST, PST or QST as separate amounts, and converts USD receipts to CAD at the transaction-date rate. It starts free at CA$0 for 15 scans a month, and Growth is CA$15 a month for 200.
How does it fit into a freelancer's week?
Step 1
Capture it at the till
Photograph the receipt in your phone's browser, upload a PDF, or drop in a batch at once. A photo taken on the day outlives thermal paper that fades within a year.
Step 2
Let the AI read it
Vendor, date, subtotal, each tax, total and currency are extracted and the expense is sorted into one of your categories. You can check and correct any field before it is saved.
Step 3
Add the why
Note who a client meal was with, or which project a purchase was for. The business purpose is the thing reviewers ask about and the thing nobody remembers a year later.
Step 4
Hand over a clean year
Export to Excel or CSV totalled by category. With categories named after the T2125 lines, each total is a line on the form, and the receipt images are there if the CRA asks.
What does it handle that a generic expense app does not?
- Provincial sales tax, separately. GST, HST, PST and QST are stored as their own amounts, so an expense can be reported net of recoverable tax once you are registered and gross while you are still a small supplier.
- USD receipts in CAD. Software, ads and hosting billed in US dollars are converted at the rate for the transaction date, not today's.
- Categories you control. Rename them after the T2125 lines, describe them in plain words so the AI files receipts where you would, and add new ones as the business changes.
- Invoices in the same place. The free invoice generator adds the right tax lines and your registration number, and invoices can be saved into your books as income.
- Six years of records you can take with you. The receipt image stays attached to every transaction, and everything exports to Excel or CSV.

Questions from the self-employed
What is the best receipt app for self-employed people in Canada?
The one that records Canadian sales tax properly, keeps the receipt image with the data for the six years the CRA requires, and lets you leave with everything. SimpleLoonie is built for that: it separates GST, HST, PST and QST on each receipt, keeps the original image attached, and exports to Excel or CSV. It has a free plan so you can test it on your own receipts.
Can SimpleLoonie sort my receipts into T2125 categories?
It sorts each receipt into your expense categories automatically, and those categories are yours to rename, add and describe. Set them up to match the T2125 lines your accountant uses — advertising, meals and entertainment, office expenses, travel and so on — and the year-end export totals by line. It does not decide which line is correct for your situation or file the form.
Does it track GST/HST for input tax credits?
Yes. The tax printed on each receipt is recorded as its own GST, HST, PST or QST amount, so the input tax credit total for a return is a sum of one column. It records what the receipt says; it does not file the GST/HST return or decide what you can claim.
Is SimpleLoonie free for freelancers?
There is a free plan at CA$0 a month with 15 receipt scans and 30 days of history, plus the invoice generator with no cap and no watermark. Most self-employed people with a steady flow of receipts use Growth at CA$15 a month for 200 scans with unlimited history and Excel and CSV export.
Can I send invoices to clients from the same app?
Yes. The invoice generator is included on every plan, adds GST, HST, PST or QST lines and your registration number, works in any currency, and produces a PDF. An invoice can be saved into your books as income, so money in and money out sit in one place.
Does SimpleLoonie replace my accountant?
No. It replaces the evening spent typing receipts into a spreadsheet before you hand things over. The judgement calls — what is deductible, which line it goes on, how much of a home office to claim — stay with you and your accountant, who will get a cleaner file to work from.
Is there a mobile app?
There is no app to install. SimpleLoonie is a web app that works in a phone browser, so you can photograph a receipt at the till and upload it on the spot.
